If your company is like most, capital expenditure dollars are not like other dollars you spend. These dollars are like your older brother, who your parents paid all the attention to. Capital expenditure dollars are a hot topic at the highest levels of management within your organization. You cannot spend capital money without a solid return on investment case, and usually, that case must be closely related to the core of your business and what makes you money. If you manufacture widgets, and widget manufacturing is how your company makes most of its wealth, then capital funds on a trash compactor instead of equipment directly related to the manufacture of widgets may not make sense.

Depending on your location, you may or may not have a factory trained compactor service and installation company in your area. Some of these companies are reputable. Some are not. I tell my wife I can fix her car, but let’s be honest; I’m not a mechanic. Many companies dabble in the service of compactors, but it isn’t their core business. More than that, service work is expensive. Some companies can charge over $120 an hour plus travel time. If the parts for your repair are not available on hand, that means a return trip and more downtime.

Check with your accountant because situations and state laws vary, but rentals can potentially be written off as operational expenses on your corporate taxes. Purchases depreciate on a depreciation schedule. It may be advantageous from a tax standpoint to rent. Safety is and should be a primary concern in any commercial facility. I’ve spent the last ten years visiting industrial sites around the US, and most customer-owned compactors are at a minimum out of essential compliance with safety standards, and some are downright dangerous. Safe compactors should have all the safety labeling adequately placed. The magnetic safety interlocks should be installed and operating correctly, and all safety guarding and clearances for enclosures met. If a safety incident occurs, the property owner could be liable if these measures are not taken. Rental compactors are checked periodically during their annual maintenance for compliance with safety standards.

I recall selling a vertical baler to a logistics center early on in my career. From the time the customer decided to move forward to the time I received a purchase order was 13 months. Corporate didn’t want to free up the capital dollars (see point 1). For the entire year that the company waited, they paid the garbage company to haul away their cardboard every day versus getting paid by the recycler for their baled cardboard. They lost money because they had to wait! Our company carries a substantial inventory of new and used equipment. It is feasible for a company to decide they want a compactor, sign the rental agreement, and have their compactor installed less than two weeks later if we have the unit in inventory.

Rental contracts typically move at a faster pace because the money is coming from operational dollars, and the rental agreement is straightforward.

On a recent trip to Hawaii I visited a hotel that had a compactor that was 42 years old. Older than me. Jimmy Carter was President when this compactor installed. Like an old tree, the compactor was rebuilt so many times you could almost count its rings and guess it’s age. How much downtime did this hotel have because of this compactor?
